About the Job

International IDEA is currently recruiting a Programme Assistant to support its programme implementation in Eastern European countries. The incumbent will be responsible for the day-to-day assistance in programming, administration, and basic financial assistance responsibilities under the supervision of the Project Manager, Eastern Europe/Regional Europe Programme.

  • Organizes programme activities, conferences, and travel in Brussels and Eastern Europe efficiently and on schedule.

  • Contributes to programme design with research, briefs, presentations, and development of knowledge materials.

  • Ensures timely and compliant administrative, logistical, and financial processes per International IDEA and donor policies.

  • Coordinates meetings, events, and workshops, managing venues, travel, and communication with participants and partners.

  • Prepares meeting materials, follow-up documents, and liaises with experts, service providers, and project teams.

  • Supports project managers in tracking timelines, preparing documents, and maintaining project records for reporting.

  • Assists finance and admin teams with procurement, contract drafting, and vendor coordination following donor guidelines.

  • Processes procurement transactions, maintains invoices and receipts, and monitors project expenditure accurately.

  • Supports project reporting by drafting sections, compiling financial data, and ensuring compliance with donor requirements.

  • Organizes staff and consultant travel, including advances, claims, and logistical arrangements.

  • Manages internal and external project communications, ensuring updates on websites, social media, and donor visibility.

Your Profile

  • High school diploma required; business or university education considered a strong asset.

  • Minimum three years’ professional experience in project or programme administration, logistics, or event coordination.

  • Proven experience organizing travel, conferences, and managing administrative processes efficiently.

  • Background in democracy, governance, or electoral processes is a strong advantage.

  • Experience in the non-profit or international development sector preferred.

  • Familiarity with donor policies and procedures, including EU-funded projects, is beneficial.

  • Fluent written and spoken English required; Russian language skills are a strong advantage.

Ons aanbod

  • Local position based in Brussels, Belgium.

  • Fixed-term appointment valid until 31 December 2026.

  • Monthly base salary: EUR 3,727.
