The incumbent will be responsible for the day-to-day assistance in programming, administration, and basic financial assistance responsibilities under the supervision of the Project Manager, Eastern Europe\/Regional Europe Programme.<\/p>\n<ul>\n<li data-start=\"140\" data-end=\"259\">\n<p data-start=\"142\" data-end=\"259\">Organizes programme activities, conferences, and travel in Brussels and Eastern Europe efficiently and on schedule.<\/p>\n<\/li>\n<li data-start=\"260\" data-end=\"373\">\n<p data-start=\"262\" data-end=\"373\">Contributes to programme design with research, briefs, presentations, and development of knowledge materials.<\/p>\n<\/li>\n<li data-start=\"374\" data-end=\"501\">\n<p data-start=\"376\" data-end=\"501\">Ensures timely and compliant administrative, logistical, and financial processes per International IDEA and donor policies.<\/p>\n<\/li>\n<li data-start=\"502\" data-end=\"625\">\n<p data-start=\"504\" data-end=\"625\">Coordinates meetings, events, and workshops, managing venues, travel, and communication with participants and partners.<\/p>\n<\/li>\n<li data-start=\"626\" data-end=\"742\">\n<p data-start=\"628\" data-end=\"742\">Prepares meeting materials, follow-up documents, and liaises with experts, service providers, and project teams.<\/p>\n<\/li>\n<li data-start=\"743\" data-end=\"863\">\n<p data-start=\"745\" data-end=\"863\">Supports project managers in tracking timelines, preparing documents, and maintaining project records for reporting.<\/p>\n<\/li>\n<li data-start=\"864\" data-end=\"988\">\n<p data-start=\"866\" data-end=\"988\">Assists finance and admin teams with procurement, contract drafting, and vendor coordination following donor guidelines.<\/p>\n<\/li>\n<li data-start=\"989\" data-end=\"1106\">\n<p data-start=\"991\" data-end=\"1106\">Processes procurement transactions, maintains invoices and receipts, and monitors project expenditure accurately.<\/p>\n<\/li>\n<li data-start=\"1107\" data-end=\"1234\">\n<p data-start=\"1109\" data-end=\"1234\">Supports project reporting by drafting sections, compiling financial data, and ensuring compliance with donor requirements.<\/p>\n<\/li>\n<li data-start=\"1235\" data-end=\"1334\">\n<p data-start=\"1237\" data-end=\"1334\">Organizes staff and consultant travel, including advances, claims, and logistical arrangements.<\/p>\n<\/li>\n<li data-start=\"1335\" data-end=\"1458\">\n<p data-start=\"1337\" data-end=\"1458\">Manages internal and external project communications, ensuring updates on websites, social media, and donor visibility.<\/p>\n<\/li>\n<\/ul>\n<h3><strong>Your Profile<\/strong><\/h3>\n<ul>\n<li data-start=\"117\" data-end=\"210\">\n<p data-start=\"119\" data-end=\"210\">High school diploma required; business or university education considered a strong asset.<\/p>\n<\/li>\n<li data-start=\"211\" data-end=\"333\">\n<p data-start=\"213\" data-end=\"333\">Minimum three years\u2019 professional experience in project or programme administration, logistics, or event coordination.<\/p>\n<\/li>\n<li data-start=\"334\" data-end=\"438\">\n<p data-start=\"336\" data-end=\"438\">Proven experience organizing travel, conferences, and managing administrative processes efficiently.<\/p>\n<\/li>\n<li data-start=\"439\" data-end=\"525\">\n<p data-start=\"441\" data-end=\"525\">Background in democracy, governance, or electoral processes is a strong advantage.<\/p>\n<\/li>\n<li data-start=\"526\" data-end=\"605\">\n<p data-start=\"528\" data-end=\"605\">Experience in the non-profit or international development sector preferred.<\/p>\n<\/li>\n<li data-start=\"606\" data-end=\"702\">\n<p data-start=\"608\" data-end=\"702\">Familiarity with donor policies and procedures, including EU-funded projects, is beneficial.<\/p>\n<\/li>\n<li data-start=\"703\" data-end=\"798\">\n<p data-start=\"705\" data-end=\"798\">Fluent written and spoken English required; Russian language skills are a strong advantage.<\/p>\n<\/li>\n<\/ul>\n<h3><strong>Notre offre<\/strong><\/h3>\n<ul>\n<li data-start=\"104\" data-end=\"150\">\n<p data-start=\"106\" data-end=\"150\">Local position based in Brussels, Belgium.<\/p>\n<\/li>\n<li data-start=\"151\" data-end=\"207\">\n<p data-start=\"153\" data-end=\"207\">Fixed-term appointment valid until 31 December 2026.<\/p>\n<\/li>\n<li data-start=\"208\" data-end=\"243\">\n<p data-start=\"210\" data-end=\"243\">Monthly base salary: EUR 3,727.<\/p>\n<\/li>\n<\/ul>\n<p>To apply for this position, candidates must submit their applications online <strong data-start=\"139\" data-end=\"177\">by 23:59 (CET) on 12 November 2025<\/strong>.
