About the Job

To further grow our newly formed team in Belgium, we are looking for a local Office Administrator. The Office Administrator will work in close collaboration with the Office Manager and the local management team. You will be responsible for general Office Administration and will be supporting a range of tasks related to Finance, HR and Legal.

The responsibilities of the Office Administrator are expected to grow along with the size of the team. This is a part-time (2 days/week) position.

  • Assist the local team with office needs like stationery, travel, and daily operations

  • Manage office expenses and monitor budgets efficiently

  • Coordinate with facility service providers to maintain smooth office operations

  • Track employee absences and report accurately to the payroll office

  • Support communication between corporate HQ, finance controller, and local accountant

  • Process local invoices and expenses with coordination from accounting and payroll teams

  • Assist in obtaining relevant government R&D funding and documentation

  • Help update and maintain company and office HR policies

  • Keep employee records current and assist in recruitment and onboarding processes

  • Act as local contact for benefits providers like insurance and leasing companies

  • Provide administrative support to the Legal team on local legislation and compliance matters

Your Profile

  • Excellent time management and strong organizational skills

  • Outstanding written and verbal communication skills in English and Dutch

  • Proficient in MS Office: Excel, Word, PowerPoint, and Outlook

  • Team player able to build strong working relationships with colleagues

  • Previous experience in administrative, finance, HR, or legal tasks is a plus
