The HR Management Assistant coordinates social dialogue activities and delivers essential administrative and organizational support to the Head of Social Relations and HR Business Partners.
Manage the agenda for the HR Director and Head of Industrial Relations
Monitor and manage the internal HR mailbox for timely response and coordination
Create and maintain HR communications and update content regularly on the intranet
Organize internal and external HR-related meetings, ensuring smooth logistics and communication
Support planning and coordination of HR events, social inspections, and office relocations
Organize union meetings: Works Council, Health & Safety Committee, and Union Delegations
Prepare and send the annual calendar of union meetings to all stakeholders
Collect agenda items from unions and coordinate preparation by management
Draft clear meeting minutes and publish them promptly on the intranet
Track and follow up on action points from union meetings
Ensure timely signing of Collective Labor Agreements (CLAs) by all parties
Register CLAs with FOD WASO and publish them on the intranet
Maintain CLA archive and track active/inactive CLAs for digitization projects
Coordinate accurate and timely processing of union payments
Prepare HR topics for union meetings and support Head of Social Relations
Liaise with planning teams to coordinate union-related activities
Provide administrative support to the internal Prevention Advisor
Assist with preparation and support for social elections and other HR-related events
Professional bachelor’s degree or equivalent experience in HR or business support
3 to 5 years’ experience in HR or a similar administrative/business support role
Fluent in English, French and Dutch – spoken and written (mandatory requirement)
Strong administrative, coordination, and management assistant skills
Proficient in Microsoft Office tools, including Word, Excel, and PowerPoint
Knowledge of Belgian social law is a plus; strong interest in the topic is essential
