You will play a crucial role in delivering administrative and secretarial support to the Corporate Governance team and the non-executive directors. This position will involve regular face-to-face interactions with Board members and Senior Management, providing you with a unique opportunity to engage at the highest level within the organization.
Proactively manage all administrative arrangements for Shareholder, Board, Board Committee, and Management meetings.
Provide essential support to stakeholders, including Board members and company secretaries, such as booking international travel, processing expenses in line with Euroclear’s travel policies, and managing travel documents.
Handle a variety of administrative tasks, including receiving and screening phone calls, letters, and visitors, answering routine inquiries, and providing information to save your supervisor’s time.
Prepare routine letters, memoranda, and special reports, while gathering and summarizing data.
Create complex correspondence, reports, and presentations.
Maintain corporate records and manage related documentation.
Utilize business software applications, including the Microsoft 365 suite.
Finalize Board and Management documents in a timely manner, ensuring proper format and layout.
Assemble and distribute Board and Committee packs via the Diligent Board application.
Assist with other administrative tasks related to Board meetings, Director training, and corporate, regulatory, and governance obligations.
You are a proactive, flexible professional who takes initiative while knowing when to ask for guidance.
You remain positive and composed under pressure, with a strong work ethic and problem-solving mindset.
You are discreet and trustworthy, able to handle sensitive and confidential information with care.
You are a real team player with strong interpersonal skills and a collaborative approach.
You have excellent communication skills in English and can convey information clearly and transparently.
You bring at least 5 years of experience supporting senior managers, along with a bachelor’s or master’s degree.
You have strong organizational skills and can manage multiple tasks independently in a fast-paced environment, prioritizing effectively to meet tight deadlines.
You are comfortable providing minimal technical support, including for hybrid meeting setups.
You are highly proficient in Microsoft 365 applications, including SharePoint, Outlook, Word, Excel, and PowerPoint.
You are eager to learn new tools and systems used at Euroclear.
