As an Office Administrator, you will be first point of contact for the Brussels office and supporting wider offices in UK & Europe managing general office and facilities duties. This role reports to the Facilities Manager in London Office and works closely with the Operations Resiliency & Facilities Team in London and Office Administrators, across our office in UK & Europe, with the management and administration of premises and facilities duties as required.
Welcome and assist visitors, ensuring a professional and friendly front desk experience.
Manage meeting room booking schedules and maintain calendar accuracy.
Coordinate food and drink orders for executive and management meetings.
Handle reception desk calls and email inbox; direct queries to the correct departments.
Keep reception and meeting areas clean, organized, and presentable.
Monitor and restock office supplies like stationery, tea, coffee, and printer paper.
Liaise with local vendors for contracts including cleaning, maintenance, and mail services.
Ensure water, heating, and air conditioning systems function properly and efficiently.
Promote a positive office culture with clear guides, notices, and information displays.
Act as the main contact for visitors, landlords, and daily building maintenance.
Coordinate emergency plans, health & safety compliance, and business continuity efforts.
Collect, sort, and frank all incoming and outgoing post daily.
Organize and archive documents or coordinate confidential document disposal.
Submit invoices to accounts payable, track payments, and manage vendor documentation.
Support onboarding by listing access needs per role and coordinating across departments.
Liaise with regulators and legal teams to ensure compliance with local laws and policies.
Collaborate with Marketing for timely website updates and accurate content.
Assist with internal or external event planning with branch or distribution managers.
Support IT teams with local employee setup and basic tech coordination.
Fluent in English and local language as required for effective office communication.
Proficient in Microsoft Office Suite, including Word, Excel, and Outlook.
Strong interpersonal skills with clear, confident communication abilities.
Exceptional attention to detail and well-developed organizational capabilities.
Skilled at multitasking and managing time efficiently to meet deadlines.
Proactive and collaborative approach to team and independent work.
Familiar with all relevant regulatory and legal requirements for the role.
